GxMusic Studios Privacy Notice
Effective date: November 2, 2026
Website: https://gxmusicstudios.com
GxMusic Studios respects your privacy. This notice explains how we collect, use, store and share personal information when you visit our website, contact us, submit music for review or use our services.
1. Who is responsible for your information?
GxMusic Studios is operated by Girendra Persaud, based at 1480 Providence, EBD, Guyana.
The operator is responsible for deciding how personal information covered by this notice is used.
For privacy enquiries or requests, contact:
Email: info@gxmusicstudios.com
Subject: Privacy Request
2. Information we collect
We collect information you provide directly, information needed to administer an agreed service, and limited technical information associated with website use.
Enquiries and music submissions
When you complete our enquiry form or contact us, we may collect:
- Your name or artist name and email address.
- Your enquiry type, such as general enquiries, digital mastering, single releases or albums.
- Your proposed release title, listening links and project description.
- Music files or release packages you choose to submit, where uploads are available.
- Personal information contained in recordings, artwork, filenames or file metadata.
- Follow-up correspondence and information needed to assess your request.
- Submission dates, reference numbers and notification status.
The form identifies information you must provide. If required information is missing, we may be unable to process your enquiry. For single or album enquiries, we require a release title and either a listening link or an accepted file upload.
Please provide only information relevant to your enquiry. Do not submit passwords, banking credentials, identity documents or unrelated confidential information through the form.
Information about other people
Your materials may identify performers, songwriters, producers, collaborators or other individuals. Please ensure you are authorised to share their information and direct them to this notice where appropriate.
Client and payment records
If we agree to provide a service, we may collect additional contact details, instructions, agreements, billing information, transaction references and records needed to administer that service.
Technical information
Our hosting and security services may process information such as your IP address, browser and device information, requested pages, access times and error records to deliver and protect the website.
The enquiry form also uses temporary security identifiers to limit repeated submissions and detect abuse. Its rate-limiting mechanism uses coded values derived from IP addresses and email addresses rather than storing raw IP addresses in the enquiry record. Hosting and security logs may separately contain IP addresses.
3. How we use your information
We use personal information to:
- Review and respond to enquiries.
- Assess submitted music and discuss suitable services.
- Prepare quotations and administer agreed projects.
- Communicate about mastering, releases, distribution and related work.
- Maintain necessary client, payment and business records.
- Operate, troubleshoot and secure the website.
- Prevent spam, misuse, fraud and unauthorised access.
- Respond to privacy requests, complaints and disputes.
- Meet applicable legal obligations.
Where applicable law requires a legal basis, we rely on the basis appropriate to the activity: taking steps at your request before entering an agreement, performing an agreement, complying with legal obligations, pursuing legitimate business interests where permitted and balanced against your rights, or obtaining your consent.
Our legitimate interests include responding to business enquiries, administering services and protecting our website and records.
We do not treat visiting the website or submitting an enquiry as consent to unrelated marketing.
4. Music submissions and public releases
Submitting music allows us to review it and respond to your enquiry. It does not automatically:
- Create a service or distribution agreement.
- Authorise publication or distribution.
- Transfer copyright or ownership.
- Guarantee acceptance, release or payment.
Enquiry records are private and are not intended to appear in the public catalogue. Where file uploads are enabled, submitted files are stored separately from the website’s public media library and are accessible through restricted administrative controls.
If you provide a listening link, the linked service’s privacy and access settings also apply. Please check those settings before sharing.
Publication or distribution requires a separate agreement or authorisation. Once authorised, artist names, credits, artwork, release information and music may be made public or supplied to relevant distribution and streaming services.
Public material may be copied, indexed or retained by third parties. Removing it from our website does not necessarily remove copies held elsewhere.
5. Payments
The website provides manual payment instructions. It does not operate an online checkout or directly process bank or card payments.
If you pay through Zelle or another agreed payment service, that provider and the participating financial institutions process your payment information under their own terms and privacy notices.
We may retain the payer’s name, payment amount, date, reference and confirmation needed to reconcile an invoice. Please do not send banking passwords, PINs, full card details or other payment credentials to us.
6. Cookies and similar technologies
Cookies are small files stored on your device. Similar technologies may support security, preferences and embedded content.
WordPress and the hosting services used for this website may use cookies needed for functions such as administrator authentication, security and session management. Some enquiry-form security controls operate on the server rather than through browser cookies.
The website’s custom theme and enquiry plugin do not include advertising pixels or a standalone visitor-analytics service. Third-party content, including Spotify, may use its own cookies and measurement technologies when activated.
You can manage or delete cookies through your browser settings. Blocking cookies may affect some functions. Where consent is required for optional cookies or tracking, we will obtain it before enabling those technologies.
7. Spotify and external music platforms
Our release pages may offer a Spotify player. The player loads only when you select “Load Spotify player”. Until then, that embedded player does not connect your browser to Spotify.
Once loaded, Spotify may receive technical information, including your IP address, device or browser information and interactions with the player. Spotify may use cookies or associate activity with your Spotify account, depending on your account status and settings.
Please review Spotify’s Privacy Policy and Cookies Policy. You can choose not to load the player.
Our website also links to external music stores, streaming platforms and release-link services. Following a link takes you to a service governed by its own privacy notice. We do not control how those services collect or use your information.
8. Who may receive your information
We share information only where reasonably needed for the purposes described in this notice, including with:
- Authorised studio personnel and contractors working on your enquiry or project.
- Hosting, email, storage, backup, security and website-support providers.
- Professional advisers where necessary for accounting, legal matters or dispute resolution.
- Music production or distribution partners where required for a service you have authorised.
- Public authorities or other parties where disclosure is required by law or necessary to establish, exercise or defend legal rights.
Service providers acting on our behalf are given access appropriate to their role and are expected to protect the information they handle.
The website’s enquiry notification emails contain a submission reference and an administrative link, rather than attaching the uploaded music or reproducing the enquiry contents. Subsequent correspondence may contain information needed to handle your request.
We do not sell personal information or provide our enquiry list to third parties for their independent marketing.
9. International processing
Our service providers and music-platform partners may operate outside Guyana. Your information may therefore be stored or processed in other countries, whose privacy laws may differ from those where you live.
Where international transfers are subject to legal requirements, we will use the safeguards required by applicable law. You may contact us for information about the providers and safeguards relevant to your information.
10. How long we retain information
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, taking account of applicable legal, contractual and record-keeping requirements.
We determine retention as follows:
- Enquiries that do not become projects: for the time needed to assess the enquiry, complete reasonable follow-up and resolve any related complaint.
- Submitted music and project files: for review and, if a project proceeds, for the agreed work and any agreed archive or delivery period.
- Agreements, invoices and payment records: for applicable accounting, tax, contractual and legal requirements.
- Security records: for the period needed to investigate incidents, prevent abuse and protect the website.
- Public release information: while the release remains listed or while continued retention is otherwise authorised or legally necessary.
Temporary form controls are configured with validity or expiry periods ranging from approximately ten minutes to three hours. Expired technical records may remain until routine system cleanup occurs.
Enquiry and music-file deletion requires an administrative process; submitting a file does not start an automatic deletion countdown. Deleted information may remain in restricted backups until those backups are overwritten or expire.
We may retain specific records longer where needed for an unresolved dispute or legal obligation. Contact us to ask about retention or request deletion of a particular submission.
11. How we protect information
We use measures appropriate to the nature of the information, including restricted administrative access and separation of private music uploads from publicly accessible website files.
No website, email service or storage system can guarantee absolute security. Please avoid sending unnecessary sensitive information and use an agreed secure transfer method for materials that require additional protection.
If a personal-data breach occurs, we will assess it and notify affected individuals and relevant authorities where required by applicable law.
12. Your rights and choices
Depending on the law applicable to your information, you may have rights to:
- Request access to your personal information.
- Correct inaccurate or incomplete information.
- Request deletion or restriction of processing.
- Object to certain uses of your information.
- Receive or transfer information in a portable format where applicable.
- Withdraw consent where processing relies on consent.
- Complain to a competent data-protection authority or other relevant body.
These rights may be subject to conditions and exceptions. For example, we may need to retain records required by law or needed for a legal claim.
Withdrawing consent does not affect processing lawfully carried out before withdrawal. It may affect a service that depends on the information concerned.
To make a request, email info@gxmusicstudios.com with enough information for us to identify the relevant enquiry or project. We may take proportionate steps to verify your identity. We will respond within the period required by applicable law and explain any lawful limitation on your request.
We do not use the website enquiry process to make solely automated decisions that have legal or similarly significant effects. Decisions about accepting music or providing services involve human review.
13. Children and young artists
The website is intended for a general audience. If you are under 18 and wish to submit music or arrange a service, please ask a parent or legal guardian to contact us and oversee the enquiry.
Parents or guardians who believe a child has provided information without appropriate permission should contact us so that we can review the information and take appropriate action.
14. Changes to this notice
We may update this notice when our services, website features or information-handling practices change. The updated version will appear on this page with a revised effective date.
Where required, we will provide additional notice or obtain consent before using information for a materially different purpose.
15. Contact and complaints
